ERP and management software, is it the same?

DEFINITION OF AN ERP

Un ERP (entreprise ressource planning) also called in french PGI  (Progiciel de Gestion Intégré) is a business-management software that manages the flow and procedures of the operational services of a company (accounting, finance, logistics, human resources  ...).

This is basically a suite of integrated applications to pilot your enterprise. The particularity of an ERP is to embark, in the same software and a single database, the functionalities necessary for the management of the whole activity of a company:

  • accounting management
  • business management
  • inventory management
  • financial and accounting management
  • ...

All the information is stored in one place and can easily be shared by different users. This mutualisation of data saves companies a lot of time and standardizes processes for a better transparency all while benefiting from useful information to control costs. An ERP system helps to improve competitivity of your enterprise.

Note : To qualify as an "Integrated Management Software Package", an ERP software solution must cover at least two fundamental principles:

  • Build IT applications as independent and fully compatible modules on a single, common database.
  • The use of a Workflow engine (automation, scripting) makes it possible to define all the tasks of a process and to manage the realization in all the modules of the system .

The integration of an ERP is not fixed in time, the software evolves with your company.

Are there specific ERP systems for SMEs and SMIs?

Yes. One might think that starting an  ERP project for an SME is not easy. Indeed, as it may often seems to be a very big investment, sometimes SMEs do not consider the purchase of an ERP. But this is not the case anymore !

The management solutions known as SAP Business By Design meet the needs of all sectors of activity (industry, building, trading, services, logistics ...). We are very familiar with the  constraints of small and medium-sized companies : millions of customers around the world trust our know-how.

This type of solution has become an accessible reference for small businesses and SMEs. An ERP solution for SMEs makes it possible to have a complete and ultra-professional approach towards customers / partners, and to support the growth of an enterprise.

Another important advantage for a small structure: you concentrate your efforts and your time on the management of your company and on the strategic vision. And not: on time-consuming tasks of setting up various structuring tools (and not always connected between them, think about these famous spreadsheets Excel that each department filled manually and which are never up to date!).

Thus, thanks to ERP software for SMEs, you can streamline all aspects of your company, from financial services to talent management. You manage your activity using a single tool, in real time, everywhere, on all media.

Testimonial: the implementation of SAP Business By Design in startup

"Bioserenity is a young startup in the medical field. To support our strong growth, one of our priority needs was to create reliable reporting to structure our financial elements and our HR department (BioSerenity hired more than 34 employees in 2 years). I then recruited a CFO and asked him to implement an ERP solution within a few months.

Ubister has rapidly implemented the ERP solution SAP Business By Design adapted for startups. In 3 months, it was already operational and linked to our production facility. A dedicated internal team was formed and quickly became autonomous thanks to the support of Ubister. After 6 months, we were able to open new modules in a few minutes thanks to this ERP SAP Business By Design. It is also an ideal tool for our future creation of subsidiaries or acquisitions abroad."

What are the specific features and modules of a management software?

Production-specific modules: Production management ERP

A CAMP solution is initially designed to manage production: CAPM stands for Computer Aided Production Management. This type of solution originated in the 1970s, when the term MRP (Materials Resources Planning or Materials Requirements Planning) was used.

Its main purpose was to optimize :

  • the production flow,
  • orders for raw materials,
  • the stocks,
  • production orders,
  • and therefore also the manufacturing costs.

However, even if it is a question of cost, a CAPM solution is not initially intended to manage the commercial or financial aspects, and does not claim to provide the means to manage a company globally. It is purely limited to the production chain. It does not provide reporting tools beyond this extended but well-defined production framework.

Modules specific to Business Intelligence: ERP reporting

By definition, the term Business Intelligence (BI) refers to:

  • applications
  • infrastructure
  • tools
  • practices

... providing the access to information, and allowing information analysis to improve and optimize a company's decisions and performance. Business Intelligence is therefore the technology-led process of data analysis. The goal ? Identify critical information that helps business executives (and others) to make objective data decisions.

Business Intelligence (BI) thus brings together a wide variety of tools, applications and methodologies to:

  • Collect data from internal systems and external sources,
  • Prepare the information for analysis
  • Develop them and run queries within these data sets.

These tools enable the creation of tailor-made reports, dashboards and data visualizations to make the results of the analyses available to decision makers.

So what about the tailor-made solution?

A business management software can be as much a help as it is a benefit for a large group, but an ERP for SMEs is quite possible. Whatever your structure, you may need to implement custom modules or functionalities.

To be effective, the ERP system must be perfectly adapted to your company's structure and used by your employees. That is why, before integrating an ERP, the Ubister team studies your needs in order to be able to propose a tailored ERP solution adapted to your company's organizational structure.
